You rent it, you return it, and the leads live in someone else’s system

Every exhibitor meets the same line item. The show sells lead retrieval: a handheld scanner, or an app licence, priced per event and often per device. You scan badges for three days, you get a spreadsheet, and at the next show you pay again because the licence was for that show only.

Before looking for an alternative it is worth understanding why the thing costs what it does, because that explains why no independent app can simply replace it.

This page is honest about our own limits up front: Ahoyy cannot scan event badges. Not as a missing feature, but because badge data is not ours to read. What we can replace is the part of the job that was never really about badges.

What you are actually renting

The hardware is the cheap part. What the fee buys is permission and plumbing.

Access to registration dataThe badge code means nothing on its own. It resolves against the organiser’s attendee database, which is why only the organiser can licence it.
The device or app licenceUsually per unit. Two people on the stand often means two fees.
QualifiersThe short on-the-spot form: interest, budget, timeline, hot or cold.
The exportA file or a CRM push after the show, sometimes only after the show closes.
Support on the daySomeone to shout at when the scanner will not connect, which is worth more than it sounds.

Why no app can just replace it

This is the part the alternatives rarely spell out. A badge scan is a lookup, not a read. The barcode, QR or RFID chip carries an identifier, and the name and email behind it sit in the organiser’s system. Buying the licence is buying the lookup.

So any product claiming badge scanning is either integrated with the organiser’s platform, or reading a public QR the organiser chose to print with real details in it. There is no clever workaround, and any tool that promises one is describing a licence you still have to buy.

Ahoyy has no badge scanning of any kind. We are not going to dress that up.

Who should just rent the scanner

  • You have a lead target for the show and someone will audit the number afterwards.
  • Several staff work the stand and the leads must land in one pool.
  • Qualifying answers have to be captured in the moment because nobody remembers them later.
  • There is a CRM and a follow-up sequence waiting for the records.
  • The show is a big spend and lead retrieval is a rounding error against the stand build.

The honest alternatives when it is not you

Most people at an event are not exhibitors with a lead target. They are attendees, speakers, one-person consultancies and small stands where the real goal is thirty conversations that lead to five useful relationships. Badge scanning was never the right tool for that anyway.

  • No shared team pool and no dashboard showing who collected what at which booth.
  • No hardware from us of any kind.
  • What you keep is a free card, a scanner for the paper you are given, and a record of where every person came from. For a lot of people that is the whole job.

Common questions

Is there a free alternative to an event badge scanner?
Not for badge scanning itself, because the data behind a badge belongs to the event organiser and access is sold as a lead retrieval licence. There are free alternatives for the surrounding job: sharing your details by QR code and scanning the printed cards you are handed.
Can Ahoyy scan event badges?
No. Ahoyy cannot read badge barcodes or RFID chips at all. It scans printed business cards, which is a different thing.
Why do shows charge for lead retrieval?
Because the badge code is only an identifier. The attendee details sit in the organiser’s registration system, and the fee is for permission to look them up, usually per event and per device.
Can I take a photo of a badge instead of scanning it?
You can read a printed name and company off a badge photo, but that is not the same as a badge scan and it will not give you an email address. Check the show rules too, since some organisers restrict photographing attendees.
What do attendees, as opposed to exhibitors, need?
Almost never a badge scanner. Attendees need a fast way to give out their details, a way to keep the cards they are handed, and enough context to write a follow-up. That is exactly the set Ahoyy covers and it is free.
Will my leads sync to a CRM if I use Ahoyy instead?
No. There is no CRM integration. If automatic CRM routing is a requirement, rent the lead retrieval and pair it with a proper lead capture platform.
Does card scanning work without signal on the show floor?
Yes. Text recognition runs on your phone, so reading a card works with no connection. Opening someone else’s card page does need one.
